A Hostel Owner's Guide to Tracking Income, Expenses & Net Profit

"Mera hostel chalta tou hai, par fayda kitna hota hai?" If you can't answer that in 30 seconds, you're losing money. Here's a simple system any hostel owner can use — no accountant, no Excel.

Step 1: Log every payment as it happens

Whenever a student pays — cash, bank transfer, JazzCash, EasyPaisa — open their profile in SastyBed and click Record payment. It takes 10 seconds:

  • Pick the type (rent, deposit, refund).
  • Enter the amount.
  • Pick the payment method.
  • Save.

The student gets an instant receipt; you get a permanent record. Partial payments? Just log each one separately — "Rs. 5,000 successful, Rs. 3,500 pending" works perfectly.

Step 2: Log every expense the same way

Bills, salaries, groceries, repairs — all of it. Open Expenses → Log expense, pick the category, enter the amount and date. Snap a photo of the receipt if you have one.

Step 3: Mark recurring expenses recurring

Step 4: Read the Reports page every month-end

On the 1st of every month, open Reports. You'll see four KPIs at the top:

  1. Income — every successful payment received this month.
  2. Expenses — every confirmed expense logged this month.
  3. Net — Income minus Expenses. Your actual profit.
  4. Pending — money promised but not yet received.

Step 5: Export the monthly statement

Tax time, partner meeting, or just record-keeping? Click Monthly PDF on the Reports page. You get a one-page printable statement with your hostel header, income, category-by-category expenses, and the net — neatly formatted, ready to file.
